About The Position

This role supports the VP of Commercial Markets (Agriculture) by managing administrative tasks, coordinating meetings and communications, and maintaining team records. The Administrative Assistant will act as a delegate for the VP, develop various business materials, organize team events, and manage distribution lists. They will also collaborate with other Executive Assistants to manage sponsorships and donations, and connect with external stakeholders to enhance RBC's market presence.

Requirements

  • Ability to take initiative, prioritize tasks, function independently, and work as part of a team
  • Ability to handle sensitive and confidential information with discretion
  • Superior attention to detail, calm under pressure and confidence
  • Innate ability to develop and maintain constructive and cooperative working relationships with individuals at all levels of the organization
  • Proficient with Microsoft applications such as Outlook, Word, Excel, Powerpoint
  • Comfortable learning RBC systems and tools such as Workday and other legacy and new digital systems and tools

Responsibilities

  • Manage and maintain executive calendars, coordinate meetings/conferences, ensure all materials/packages, and catering requirements are provided
  • Act as the VP’s delegate for email and phone during absences, handle/forward issues, prioritizing for VP’s action upon return
  • For multi-channels develop communications, meeting/conference materials, forms, documents, presentations and spreadsheets
  • Coordinate all requirements, maintain appropriate records in managing the team; including preparing and verifying monthly expense claims and invoices, travel and other expenses, supplies, and updating vacation and absence for the VPs and their teams
  • Organize regular team meetings, employee recognition celebrations, and other team events
  • Maintain global distribution list and distributes group-wide communications
  • Raise awareness among the team, extend invitations to key business partners, maintain effective knowledge of all relevant resources and services available within organization
  • Collaborate with other EAs across the market to manage sponsorships, donations and other expense budget
  • Connect with external community stakeholders to assist with RBC market presence
