About The Position

The Administrative Assistant will provide clerical and organizational support to ensure the efficient operation of the Toms River office. This role involves data entry, report generation, handling correspondence, preparing reports, compiling data, addressing customer inquiries, managing mail, performing time entry, processing invoices, maintaining filing systems, scheduling appointments, arranging meetings, and interacting professionally with internal and external customers. The position also includes coordinating company activities and purchasing office supplies and equipment. The work environment is fast-paced, requiring a mix of desk work and movement, with a focus on computer-based tasks and communication, utilizing standard office equipment and interacting with various departments.

Requirements

  • High School Diploma/GED is required.
  • 2 years of experience in a similar role.
  • Proficiency in operating company systems, devices, and software applications (Google OfficeSuite).
  • Good verbal and written communication skills.
  • Strong problem-solving skills and ability to independently follow through on tasks and projects.
  • Ability to lift up to 30 pounds.

Responsibilities

  • Data entry and generation of reports from company systems.
  • Handling incoming and outgoing correspondence internally and externally.
  • Preparing reports and gathering, compiling, and recording data.
  • Addressing customer inquiries and completing related documentation and system updates.
  • Opening, separating, and distributing departmental mail.
  • Performing time entry in the time management system.
  • Processing invoices for relevant business units.
  • Initiating and maintaining internal and external filing systems.
  • Scheduling appointments and arranging meetings.
  • Maintaining professional interactions with internal and external customers and/or departments.
  • Performing other similar or less skilled work as assigned.
  • Working closely with union staff.
  • Coordinating company activities.
  • Purchasing office supplies and equipment.
