About The Position

We are actively seeking a detail-oriented and dependable Billing/Office Administrator to strengthen our team. In this critical role, you will take charge of generating invoices, maintaining precise billing records, and ensuring all transactions are processed efficiently and on time along with other office duties. Your expertise will be vital in managing our accounts receivable and supporting our team.

Requirements

  • Proven experience as a billing admin or in a similar role.
  • Proficiency in MS Office (especially Excel) and Outlook.
  • Unmatched attention to detail and a steadfast commitment to accuracy.
  • Exceptional organizational and multitasking skills vital for a fast-paced environment.
  • Strong communication and interpersonal abilities to foster collaboration.

Nice To Haves

  • Pivot tables are a plus.

Responsibilities

  • Prepare and manage invoices.
  • Verify the accuracy of billing data and resolve any discrepancies promptly.
  • Maintain comprehensive records of billing transactions to ensure accuracy.
  • Address and resolve billing inquiries and disputes with contractors effectively.
  • Proactively follow up on outstanding invoices and monitor payment statuses to secure timely collections.
  • Collaborate with other departments to guarantee the integrity of all billing information.
  • Process refunds, credits, or adjustments as needed with precision.
  • Generate insightful reports on billing activity and assist in month-end closing.
  • Permit submissions.
  • Other Office duties as needed
