About The Position

Artelia Canada is seeking an Administrative Assistant for their Mississauga location. The role involves managing technical documents, coordinating with technical teams, formatting and proofreading reports, performing data entry, reviewing tender documents, and handling various clerical and administrative tasks. The ideal candidate will have a strong understanding of established procedures and practices to support operational resources.

Requirements

  • Fluency in spoken and written English.
  • Minimum 5 years of experience in an engineering firm.
  • Relevant administrative training (DEP, AEC or DEC).
  • Excellent knowledge of Office software (Excel, Word, PowerPoint, Visio, etc.).
  • High sense of observation and attention to detail.
  • Meticulous, autonomous, and resourceful.
  • Ability to prioritize and manage deadlines.

Responsibilities

  • Manage technical drawings and document submissions.
  • Coordinate with technical teams to ensure timely project deliverables.
  • Format, proofread, and edit project technical reports, administrative reports, service offers, and quotations for accuracy in spelling, grammar, syntax, and punctuation.
  • Utilize internal and external electronic document management systems.
  • Perform data entry into various tables and databases.
  • Review tender and contract documents and participate in start-up meetings as required.
  • Perform clerical and administrative tasks requiring a strong knowledge of established procedures and practices to support operational resources.
  • Handle daily office tasks such as answering calls and managing office inventory.
