About The Position

The Administrative Assistant plays a key role in supporting daily office operations, human resources functions, and administrative systems. This position ensures efficient onboarding, maintains accurate system records, supports financial processes, and assists with internal communications and IT coordination.

Responsibilities

  • Assisting HR with onboarding new hires, ensuring smooth and professional experience
  • Create and set up work email accounts for new employees
  • Add and maintain employee records in Service Titan
  • Assign and track Interplay safety e-learning courses for new and current employees
  • Order uniforms and coordinate distribution
  • Provide support for general HR duties as needed
  • Create receipts from Purchase Orders (POs) in Service Titan
  • Batch and export vendor bills from Service Titan into Sage
  • Export Residential Sales customer invoices into Sage
  • Export Service Department customer invoices into Sage
  • Ensure accuracy and timeliness of financial data transfers
  • Order, configure, and deploy iPhones and iPads for employees
  • Troubleshoot mobile device issues (iPhone/iPad)
  • Coordinate with SEER IT and/or Audian for escalated technical issues
  • Participate in meetings and ongoing training sessions
  • Troubleshoot Service Titan and CCP system issues
  • Evaluate workflows and implement Service Titan best practices to improve efficiency
  • Serve as a key resource for internal system support and optimization
  • Design and distribute monthly company newsletter
  • Create internal flyers, announcements, and company notices
  • Ensure branding consistency across communications
  • Provide administrative support to Service and Residential departments as needed
  • Assist with general office tasks and cross-department coordination
