Caterpillar is seeking an experienced Administrative Assistant to support leaders and teams within Global Government & Corporate Affairs (GGCA) based in Irving, Texas. The successful candidate will bring strong executive presence, discretion, and initiative while managing a wide range of administrative responsibilities and stakeholder interactions. As a trusted partner to senior leaders, this individual will support a dynamic team responsible for government affairs, public policy, executive and employee communications.

Nice To Haves

  • Bachelor’s degree and/or significant experience supporting leaders of departments and organizations as well as large and diverse teams
  • Significant experience supporting senior leaders, executives, or large cross-functional organizations.
  • Experience supporting Government Affairs, Public Policy, Corporate Communications, Legal, Public Relations, or other highly visible corporate functions.
  • Strong executive presence and the ability to interact confidently with senior leaders, government officials, external stakeholders, and business partners.

Responsibilities

  • Manage complex calendars, coordinate meetings, and schedule appointments across multiple time zones and stakeholder groups.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, itineraries, and expense reporting.
  • Create, edit, and format high-quality presentations, reports, and other meeting materials for leadership and team use.
  • Support the preparation and execution of internal and external meetings, including meeting logistics, materials, agendas, and follow-up actions.
  • Maintain organizational records, budget tracking information, records retention documentation, and other administrative reporting tools.
  • Plan, coordinate, and execute team meetings, events, leadership visits, and employee engagement activities.
  • Build effective relationships with internal and external stakeholders while serving as a professional representative of the organization.
  • Exercise a high degree of confidentiality, professionalism, and sound judgment when handling sensitive business information and executive communications.
  • Anticipate administrative needs, proactively identify solutions, and help ensure efficient workflow and operational effectiveness across the team.
  • Demonstrates strong strategic planning and meeting management skills, including the ability to attend leadership meetings, capture key decisions, identify action items, establish accountability, and help drive follow-through on priorities.
