About The Position

The York Region Children’s Aid Society (YRCAS) is a non-profit community organization legally mandated to protect children and youth from abuse and neglect. To support us on our journey, YRCAS is looking for an Administrative Assistant to support our Corporate Services department.

Requirements

  • Completion of Grade 12 Certificate with emphasis on commercial courses, combined with five years related office experience, OR Completion of at least one year’s post-secondary education combined with two to three years of related office experience.
  • Pleasant professional and effective telephone manner.
  • Good administrative and computer skills, and working knowledge of basic office equipment, i.e. Microsoft Word, Outlook, Power Point, Excel, Microsoft Teams, Zoom, SharePoint, facsimile, etc.
  • Excellent Database Management skills i.e. Accurate database management.
  • Calendar management.
  • Proficiencies with Photocopiers, Scanners and Projectors.
  • Excellent grammatical and spelling skills ie. Editing and proof-reading skills.
  • Good organizational, interpersonal and communication skills.
  • Ability to work well under work and environmental pressure.
  • Knowledge of switchboard operation in providing required relief.
  • Ability to work cooperatively and effectively as a member of a Team.
  • Verification of credentials, a satisfactory vulnerable sector check, and a class “G” driver’s license with daily access to an insured vehicle.

Nice To Haves

  • Any post-secondary in office administration course will be considered an asset.
  • Bilingualism in French and/or other languages would be considered an asset.

Responsibilities

  • Accurately and efficiently performs all administrative duties in support of the effective operation of the Team.
  • Inputs all data required by information system (CPIN); opening, transfer, and closing of new cases.
  • Assists in maintaining an accurate and up to date agency database (CPIN) by reviewing completed agency controls for accuracy.
  • Prepares statistics.
  • Distributes an up-to-date agenda for Team Meetings and notifies Chairperson for that week.
  • Assists Team members with filing all necessary case information according to agency and legislative requirements.
  • Supports team members by assisting with coordination of telephone calls in their absence and scheduling as requested.
  • Distributes mail, memos, etc., ensures photocopying services are completed as requested.
  • Processes e-card purchases.
  • Maintains minutes for meetings.
  • Attends and participates in all Staff and Team Meetings, in-service training sessions, and other meetings as requested.
  • Participates in regular supervision with the Team Supervisor.
  • Participates in the annual evaluation of her/his performance as specified in the Policy Manual.
  • Participates in the development of any Team and/or Agency planning.
  • Coordinates After Hours Duty Reports on a rotating basis with all Administrative Assistants or as requested.
  • Provides switchboard relief as outlined in the schedule prepared by the Receptionist.
  • Provides back-up coverage and overload assistance for other Administrative Assistants as required.
  • Travel to other Agency offices may be required on a rotation, based on operational needs (Newmarket, Richmond Hill, Vaughan).
  • Attends all Administrative Assistant meetings.
  • To provide other duties as assigned.
