About The Position

This is a full-time Administrative Assistant position supporting payroll responsibilities for 150 to 350 teammates under the supervision of Nurse Managers. The role involves managing daily scheduling changes, tracking teammate license verification, maintaining credential updates, and managing PTO requests. It also includes participating in candidate interviews, maintaining records, monitoring premium pay programs, and supporting cross-functional areas and operational projects. The position requires the ability to work in an office environment, sit for prolonged periods, use a computer and telephone, prepare reports, and travel occasionally in a personal car. The role also demands the ability to work rapidly and accurately under pressure, handle various issues and priorities simultaneously, and maintain a knowledge base of healthcare trends and regulations.

Requirements

  • Bachelor's degree preferred.
  • Kronos experience preferred.
  • ShiftSelect experience preferred.
  • Must be able to work in an office environment, sitting for prolonged periods of time utilizing a computer and telephone and preparing reports and other statistical data.
  • Work requires standing as well as walking throughout all assigned units.
  • Work may require traveling in personal car to other facilities.
  • Occasionally requires the carrying of up to 20 pounds of materials or equipment.
  • Ability to work rapidly and accurately under pressure.
  • Ability to work in a safe, effective manner.
  • Ability to handle different issues and priorities simultaneously.

Responsibilities

  • Support payroll responsibilities between 150 and up to 350 teammates under the Nurse Managers' supervision.
  • Ensure time code allocation is accurate, monitor time and labor edits, trends, and discrepancies.
  • Monitor appropriate use of incremental and general OT by teammate, department, or unit.
  • Manage daily scheduling changes for staff.
  • Track monthly healthcare teammate license verification and documentation.
  • Maintain ShiftSelect credential updates.
  • Track teammate PTO to ensure requests are eligible for approval.
  • Manage MLOA/FMLA reports & monthly reconciliation.
  • Participate as requested in candidate interviews.
  • Maintain A&C records and biweekly reconciliation reports.
  • Maintain an adequate knowledge base of healthcare trends and regulations.
  • Monitor premium pay programs.
  • Manage several projects at one time.
  • Provide general support to assigned Nurse Managers.
  • Provide support for cross functional areas as needed.
  • Support additional operational projects that support the overall performance of identified goal areas.
