About The Position

The Administrative Assistant will support the Community Association Manager in the daily operations and administrative tasks within the community. This position requires exceptional organizational skills, attention to detail, and the ability to work effectively with residents and board members.

Requirements

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong organizational and time management abilities, with a keen attention to detail.
  • Excellent communication skills, both written and verbal, with the ability to interact effectively with managers, peers, residents, vendors, and guests.
  • Commitment to maintaining a positive and professional work environment.
  • The ability to multi-task on a variety of levels with the utmost of focus and professionalism.
  • Valid driver’s license and reliable transportation.
  • High school diploma or equivalent.
  • At least one year’s related experience required.

Responsibilities

  • Greet and serve as point of contact for homeowners, vendors, board members, and/or delivery persons by handling the issue/concern directly or forwarding such person to the appropriate party to address.
  • Assist the Community Association Manager in managing daily administrative and clerical tasks, including but not limited to preparing material for board meetings and annual general meetings, including agendas, minutes, and informational packets (if needed).
  • Address resident inquiries and concerns promptly, escalating them to the Community Association Manager when necessary.
  • Assist with the Impervious Cover process.
  • Generate, process and record affidavits. (This is part of the IC process).
  • Assist with the home closing inspection process.
  • Assist with the operation of the gates and gate system (issue gate codes, access devices and maintain resident information in the gate system program). Contact the gate maintenance company when repairs are needed and track the progress.
  • Maintains homeowner roster, database, mail instructions, and homeowner files.
  • Processes mail for management office.
  • Monitors software database to uphold guideline standards.
  • Assists with ARC submittal process.
  • Design review (assists with receiving applications to ensure all information is in order).
  • Attend Board meetings to aid the Community Association Manager as needed.
  • Perform other job-related duties as directed by upper management.
