About The Position

The Administrative Assistant will provide high-level administrative and operational support to multiple senior leaders within the Operations team. This role is critical in ensuring day-to-day efficiency by managing priorities, coordinating logistics, and supporting key business initiatives. This is a fast-paced, highly collaborative role that requires strong organization, attention to detail, and the ability to manage competing priorities across multiple stakeholders.

Requirements

  • High School diploma required
  • 3+ years of administrative experience in a corporate environment
  • Experience supporting multiple leaders or teams simultaneously preferred
  • Highly organized with strong attention to detail and follow-through
  • Proven ability to prioritize competing requests and manage multiple tasks in a fast-paced environment
  • Strong written and verbal communication skills
  • Proactive, resourceful, and able to work both independently and collaboratively
  • Comfortable working with cross-functional teams and stakeholders
  • Experience with expense management, invoicing, or operational coordination strongly preferred
  • Exposure to project coordination or operations support is a plus

Responsibilities

  • Provide administrative support to multiple senior leaders across the Operations function
  • Manage and process expense reports, receipts, and reimbursements in a timely and accurate manner
  • Review and coordinate vendor invoices and billing, ensuring alignment with budgets and identifying discrepancies
  • Coordinate meetings, trainings, and team events, including scheduling, travel, and logistics
  • Distribute and track reports, surveys, and operational communications across teams
  • Support departmental projects and initiatives, including tracking timelines, organizing materials, and following up on deliverables
  • Maintain and organize shared documents, reports, and systems (e.g., SharePoint and internal tools)
  • Assist with administrative workflows to help streamline processes and reduce operational burden on leadership
  • Act as a point of contact across teams to support communication and coordination efforts
