About The Position

The Administrative Assistant is responsible for managing building entry and greeting Head Start families and visitors, answering phone calls, and managing the front desk. Prepares forms and creates/designs flyers for program activities; completes basic data entry. Monitors the flow of paperwork and files. Facilitate communication between staff and between the program and Head Start families. Performs a variety of administrative tasks for the department and division. Must be bilingual in English and Spanish. Jefferson County Head Start is a comprehensive, no-cost infant/toddler and preschool program serving kids who are 6 weeks to 5 years old in Jefferson County (excluding Lakewood). We provide a range of support and services for our children and families. We aim to provide equitable and inclusive services and support to the diverse community we serve.

Requirements

  • High School Diploma or GED.
  • 1 year of work-related or volunteer-related experience.
  • Must be bilingual in English and Spanish.

Nice To Haves

  • More than three (3) years of customer service experience is highly preferred.
  • Experience with Microsoft Office/Microsoft 365.
  • Strong time management and prioritization skills.
  • Detail-oriented and experience with data entry and financial tracking.
  • Positive Attitude.
  • Being a reliable team player who is flexible/adaptable.
  • Basic math skills.
  • Excellent customer service skills.
  • Passionate about the education of young children.

Responsibilities

  • Manage building entry and greet Head Start families and visitors.
  • Answer phone calls and manage the front desk.
  • Prepare forms and create/design flyers for program activities.
  • Complete basic data entry.
  • Monitor the flow of paperwork and files.
  • Facilitate communication between staff and between the program and Head Start families.
  • Perform a variety of administrative tasks for the department and division.
  • Sit at the front desk to greet visitors and manage secure building entry; answer and route phone calls to the appropriate individual.
  • Communicate program information to current and potential Head Start families.
  • Receive mail, documents, and packages.
  • Order supplies and request maintenance.
  • Maintain positive relationships with Head Start families and staff members.
  • Coordinate staff meetings and serve as meeting recorder.
  • Maintain positive public image for department and division.
  • Produce reports, create and maintain documents, data entry, and complete projects.
  • Ensure all provided material is accurate.
  • Prepare supplies and materials for staff usage.
  • Other duties and responsibilities as assigned.
