About The Position

At Tree Trust, the Administrative Assistant plays a crucial role in the success of the Landscape Services division. Requirements

  • High School Diploma or equivalent.
  • One to two years of administrative support experience, including customer service and data entry.
  • Excellent organizational skills and the ability to manage multiple projects.
  • Strong verbal communication skills with customers, clients, and staff.
  • Ability to prioritize tasks while being thorough and detail-oriented.
  • Ability to take work direction from multiple managers.
  • Ability to use analytical thinking to make decisions.
  • Advanced knowledge of Microsoft Office software.
  • Experience exercising discretion and confidentiality with sensitive company information.

  • Current driver’s license and a clean driving record as determined by Tree Trust’s insurance carrier.

Responsibilities

  • Provide excellent customer service by answering and routing phone calls, acting as the initial point of contact, responding to and forwarding emails, and diplomatically managing public inquiries.
  • Communicate the tree care schedule to customers.
  • Manage office space and equipment, including organization, light cleaning, and ordering supplies.
  • Schedule employee attendance for continuing education workshops and certification testing.
  • Document workflow for various tasks using process mapping.
  • Schedule sales arborist’s customer visits.
  • Manage the tree care schedule by collaborating with the tree care production manager and the sales arborists.
  • Send schedule updates to customers.
  • Review staff data entries for timekeeping and equipment use to ensure accuracy.
  • Update materials, vendors, subcontractor, and equipment data in estimating and timesheet software.
  • Run data reports from estimating and time sheet software.
  • Track personnel information including PPE (personal protective equipment) allocations.
