About The Position

This position assists the Associate Superintendent for Finance by performing clerical and secretarial duties necessary to fulfill the responsibilities of the Finance Department. The role involves managing communications, maintaining budgets and records, and utilizing specific software for purchasing and financial tracking. The Administrative Assistant is expected to uphold professional ethics, communicate effectively, and maintain a positive and dependable work ethic.

Requirements

  • Demonstrates oral, written and reading proficiency in English.
  • Demonstrates ability in secretarial/clerical skills to include word processing.
  • High school diploma or general education degree (GED).
  • Three years related experience.
  • Experience with the software specific to the job.
  • Ability to meet and deal with the public; establish and maintain effective working relationships with associates; compose correspondence; follow written and verbal instructions; communicate effectively both verbally and in writing; ability to make routine decisions independently.
  • Good public relations skills.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before employees.
  • Working knowledge of business English, and Spelling.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.

Responsibilities

  • Complies with approved Code of Ethics of the Education Profession and upholds and enforces rules, administrative directives and regulations, school board policies, and local, state and federal regulations.
  • Communicate effectively with department staff and other employees of the district.
  • Performs duties involving secretarial skills and routine office procedures such as filing, typing correspondence, reports, filing out forms from different agencies, instructions for employees, and answering phones.
  • Create query, report, and maintain and accurate database containing information related to professional development activities, budget, and other initiatives.
  • Maintain department budgets, records and files.
  • Use Visions software to assist in the purchasing and requisition of materials and supplies and maintain a running balance of accounts; insure that invoices are paid in a timely manner.
  • Works with computer applications to prepare reports, staff summaries, memos, letters and other correspondence.
  • Arrange for meetings, including locations, sign-in sheets, agendas and handouts as requested by Associate Superintendent for Finance
  • Assists the Associate Superintendent for Finance in communication flow and task assignment coordination between the separate divisions of District.
  • Display a positive attitude towards others, duties and responsibilities.
  • Attend all meetings and training sessions as requested.
  • Use time effectively, and maintain punctuality and dependability.
  • Perform other duties as assigned.
