About The Position

The Administrative Assistant is a key member of the Sheriff’s Office team, providing specialized administrative and clerical support that keeps law enforcement and jail operations running smoothly. This role delivers front‑line customer service to the public and partners, ensures the integrity and confidentiality of Sheriff’s Office records, and supports efficient day‑to‑day office functions. The employee works under the general direction of an Office Supervisor, using independent judgment within established County and departmental guidelines to prioritize work, solve routine problems, and contribute to a respectful, professional, and service‑oriented environment.

Requirements

  • Considerable knowledge of up-to-date office methods and procedures.
  • Considerable knowledge of business English, grammar, punctuation and spelling and ability to set up and draft correspondence.
  • Ability to perform a heavy load of data entry with accuracy.
  • Ability to work with confidential matters and keep confidentiality.
  • Ability to give instructions to the public in a clear and concise matter.
  • Ability to establish good working relationships with the public, County officials and other employees.
  • Ability to file a large number of electronic materials accurately and maintain a neat and orderly filing and record keeping system.
  • Ability to work independently under moderate supervision.
  • Ability to use good judgment in handling phone calls or when dealing with the public.
  • Associate degree in Administrative Professional, Office Technology, Business, Criminal Justice, or a closely related field preferred; an equivalent combination of education, training, and progressively responsible office experience may be considered.
  • Two or more years of administrative or office support experience demonstrating accuracy with data entry, document preparation, and customer service in a fast‑paced environment.
  • Successful completion of a background check and any additional clearances required for work in a law enforcement environment.

Nice To Haves

  • Experience in one or more of the following areas is preferred: law enforcement records management, law enforcement or justice system software, transcription of reports or legal documents, or work with legal/criminal justice terminology.

Responsibilities

  • Provide professional administrative and clerical support to Sheriff’s Office operations (such as law enforcement records, jail services, and related programs) to ensure accurate documentation, efficient workflows, and timely service to internal and external customers.
  • Deliver high‑quality customer service as a first point of contact for the public, staff, and justice partners by answering inquiries, explaining Sheriff’s Office procedures, and routing individuals to appropriate resources in a courteous, respectful, and trauma‑informed manner.
  • Support the creation, maintenance, and retention of law enforcement and jail records by preparing, processing, and organizing reports, citations, correspondence, and other official documents in accordance with Sheriff’s Office practices and County records requirements.
  • Maintain data integrity and confidentiality in Sheriff’s Office information systems by entering, updating, and verifying information related to incidents, citations, jail processes, financial transactions, and other records, and by handling sensitive information in compliance with applicable policies and laws.
  • Coordinate routine office functions that keep Sheriff’s Office units running smoothly, including managing mail and communications, assisting with scheduling and meeting logistics, supporting supply ordering and inventory, and providing back‑up support for fiscal and records activities as assigned.
  • Contribute to a collaborative, inclusive, and responsive team environment by cross‑training on key functions, flexibly assisting other staff and divisions, and modeling the County’s values of respect, integrity, and community service in all interactions.
  • Demonstrate reliable and professional work habits, including consistent attendance, effective time management, and proactive communication, to support continuous coverage and dependable service within the Sheriff’s Office.
  • Assists other Sheriff's Office staff, as required.
  • Perform other duties as may be assigned or required.
