About The Position

The Oklahoma Department of Agriculture, Food and Forestry (ODAFF) is seeking a full-time Administrative Assistant I in the Forestry Division. This position (PIN #04000146) is in state government, located in Oklahoma City, OK. The State of Oklahoma offers a comprehensive Benefits Package, including a generous benefit allowance to offset the cost of insurance premiums for employees and their eligible dependents. The hourly pay for this position is up to $21.04 based on education and experience.

Requirements

  • A bachelor’s degree or four years of technical clerical, administrative, secretarial, or general office work; or an equivalent combination of education and experience.
  • Knowledge of spelling, punctuation, and business English.
  • Knowledge of business mathematics.
  • Knowledge of modern office methods and procedures.
  • Knowledge of the maintenance of complex records.
  • Knowledge of the major policies and procedures governing assigned programs.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to perform confidential work and maintain confidentiality.
  • Ability to interpret and complete routine matters according to agency policies and procedures.
  • Ability to follow oral and written instructions.
  • Must possess a valid driver’s license at time of employment and maintain throughout employment.

Responsibilities

  • Participate in assigned projects as team member or team leader.
  • Develop and implement procedures for efficient office management. This will include the organization of the office area, ensuring supplies are in stock and available to staff and equipment/electronics are in working order.
  • Utilize Microsoft Office 365 and desktop applications for emailing, document creation, data sharing and overall data management.
  • Initiate correspondence requiring knowledge of agency or program procedures and policies.
  • Develop and maintain confidential or complex files both electronically and in paper form.
  • Refer internal and external customers to division specialists concerning programmatic rules, regulations, policies, and laws.
  • Assist with administrative operational functions such as invoicing, processing claims, inventory, fleet, bookkeeping and other duties.
  • Manage incoming calls, directing them to the appropriate personnel within the division or department.
  • Ensure callers are directed to the correct individual or agency to address their inquiries or concerns whenever possible.
  • Proofread and review agency documents and correspondence for errors or deletions. Refers corrections to division specialist for confirmation.
  • Perform other office tasks and duties as directed by supervisor or office staff.
