Location: We prefer this person to sit in our Scottsdale AZ office The Opportunity Are you a master of organized chaos? Do you pride yourself on being three steps ahead of everyone else? We are a fast-growing startup looking for a high-energy, proactive Executive Administrative Assistant to act as the backbone of our leadership team. In this role, you won’t just be "managing calendars"—you’ll be the gatekeeper and strategic partner to our C-Suite, ensuring our executives can focus on scaling the business while you handle the mission-critical details of our daily operations.

Requirements

  • At least 2 years of experience supporting senior executives, preferably in a fast-paced startup or tech environment.
  • Proficiency in Google Suite (Gmail, Sheets, Drive).
  • Elite time management skills and the ability to prioritize a massive to-do list without dropping the ball.
  • Adaptability to pivot when plans change in a scaling company environment.
  • Discretion to handle sensitive company and personnel information with the utmost confidentiality.

Responsibilities

  • Proactively manage complex, high-volume calendars for the C-Suite, resolving scheduling conflicts and ensuring every meeting has an agenda.
  • Coordinate end-to-end domestic and international travel, including flights, lodging, and ground transportation, often with last-minute changes.
  • Utilize the full Google Business Suite (Docs, Sheets, Slides, Drive) to create reports, manage shared filing systems, and keep the team synchronized.
  • Serve as the primary point of contact for internal and external stakeholders, representing the executive team with a polished, helpful, and professional attitude.
  • Help build the "playbook" for our scaling operations, including expense reporting, organizing team off-sites, and investor meetings.
