Requirements

  • Associate degree in an office or business field with office experience (preferred) or a minimum of five (5) years of Administrative Assistant or equivalent experience is required.
  • Ability to communicate effectively both orally and in writing with employees and the general public.
  • Ability to maintain confidentiality in daily operations.
  • Ability to conduct daily duties professionally.
  • Excellent organizational, planning, and problem-solving skills required.
  • Ability to manage multiple tasks and complete duties in a timely manner while working independently.
  • Must be proficient in Microsoft Office, including Outlook, Word, Excel, and Publisher.
  • Medium work: Ability to lift and carry up to 25 lbs.
  • Excellent hand-eye coordination.
  • Ability to sit for long periods of time.
  • Ability to tolerate extensive exposure to a computer monitor/screen.
  • Ability to tolerate extensive use of a computer keyboard.

Responsibilities

  • Responsible for communications and documentation, including drafting, editing, and formatting correspondence, communications, and program documents; preparing and distributing outgoing communications; monitoring, screening, responding to, and distributing incoming communications; and tracking and sending out program-related documents.
  • Responsible for program-specific administrative support, including assisting with daily administrative functions for the Waiver Respite program, preparing biweekly Respite payroll and billing submissions, assisting in reviewing and updating timecards, supporting Assistive Technology/E-Mod projects, preparing and mailing requests for bids and contracts, tracking and updating documents for Family Support Services and the Housing Subsidy program, tracking driver identifications and cleaning lists, inputting behavior data for IRAs, creating and/or updating Residential forms, updating the IRA information sheet/contact list and staff listings, and saving Agency Reportables.
  • Responsible for scheduling and meeting coordination, including coordinating and maintaining calendars and meeting schedules, scheduling, coordinating, and preparing logistics for meetings, assisting with planning and executing staff events, assisting staff with setting up trainings and resolving technical issues, and recording, transcribing, editing, and distributing meeting minutes.
  • Responsible for general office administration, including receiving, sorting, and distributing mail, collecting and forwarding vouchers and receipts, coordinating office supply orders and managing service requests for equipment repair or maintenance, and managing multiple concurrent projects, processes, and assignments.
  • Responsible for the front desk and reception for the office, serving as the primary point of contact for visitors, clients, and staff, greeting and assisting guests, answering and directing incoming calls, and maintaining a tidy and organized reception area.
  • Performs other clerical duties as requested by the Director of OPWDD Services.
