About The Position

The Administrative Assistant for the Wellness Center serves as a key support professional dedicated to enhancing the student experience through exceptional customer service, administrative coordination, and student engagement. This position provides administrative support for campus housing operations and recreational programming while serving as a welcoming resource for students, parents, faculty, staff, and community members. The successful candidate will contribute to creating a positive campus environment that promotes student success, belonging, wellness, and retention. Through responsive service and administrative excellence, the Administrative Assistant helps create a vibrant campus community where students can thrive academically, socially, and personally.

Requirements

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to respond to common inquiries or complaints from students, management, or members of the community.
  • Ability to write routine reports and correspondence.
  • Ability to effectively present information to students, recruits, administration, and public groups/individuals.
  • Ability to work with mathematical concepts.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables.

Nice To Haves

  • Associate degree preferred.
  • One to three years of administrative support, customer service, student affairs, housing, recreation, or related experience preferred.

Responsibilities

  • Serve as the primary point of contact for students, families, and visitors regarding housing and recreational services.
  • Provide accurate information and assistance related to housing assignments, residence hall policies, recreational programs, facility usage, and campus resources.
  • Respond to student inquiries in person, by phone, email, and other communication platforms.
  • Assist students in navigating campus services and connect them with appropriate resources when needed.
  • Foster a welcoming, inclusive, and student-centered environment.
  • Support student housing operations, including applications, room assignments, move-in and move-out processes, and occupancy tracking.
  • Maintain accurate student housing records and databases.
  • Assist with housing communications, resident correspondence, and policy documentation.
  • Support residence life staff with administrative needs and special projects.
  • Assist with scheduling and facility reservations for recreational spaces and wellness facilities.
  • Maintain participation records, program registrations, and facility usage reports.
  • Support the planning, promotion, and implementation of recreational, wellness, and engagement activities.
  • Coordinate event logistics, registrations, equipment reservations, and facility preparation.
  • Monitor and maintain recreational program records and documentation.
  • Manage office operations, including scheduling appointments, maintaining calendars, processing forms, and organizing records.
  • Prepare correspondence, reports, presentations, and promotional materials.
  • Assist with budget tracking, purchasing requests, invoices, and departmental expenditures.
  • Maintain confidential student and employee information in accordance with institutional policies and federal regulations.
  • Support departmental assessment efforts by collecting and compiling data related to student participation and satisfaction.
  • Assist with the development and promotion of student engagement opportunities within housing and recreation programs.
  • Support student orientation, welcome events, residence hall programming, wellness initiatives, and campus activities.
  • Collaborate with other departments to promote student involvement, retention, and campus connectedness.
  • Encourage student participation in programs that support personal growth, wellness, leadership, and community building.
  • Participate in professional development opportunities.
  • Perform other related duties as assigned.
  • Supervises student workers as assigned.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
