About The Position

The Administrative Assistant provides essential administrative support to the millwork and production teams in a fast-paced, production-focused environment. This role manages phone communications, organizes physical and digital records, and maintains accurate data sheets and reports in Excel. The position supports day-to-day office operations, ensuring that documentation, filing, and data entry processes run smoothly and efficiently.

Requirements

  • At least 1 year of office experience, preferably in an administrative support role.
  • Strong proficiency in Microsoft Excel, including creating, updating, and managing data sheets and reports.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Demonstrated computer savvy and comfort working with digital files and systems.
  • Experience with filing and document management, including organizing physical and digital records.
  • Strong organizational skills and a high level of attention to detail.
  • Reliable, professional demeanor with the ability to support a production-focused environment.
  • Customer service skills, including clear and courteous phone and email communication.
  • Clerical and data entry experience with a focus on accuracy and timeliness.

Nice To Haves

  • Experience in an administrative role within the construction or millwork industry is preferred.
  • Recent high school, college, or vocational school education is acceptable when combined with strong administrative skills.
  • Ability to manage multiple tasks and prioritize work in a busy office setting.
  • Comfort working closely with production teams in a hands-on, studio and warehouse environment.
  • Strong sense of ownership and accountability for documentation, data organization, and filing.

Responsibilities

  • Provide general administrative support to the millwork and production teams, helping to keep daily operations organized and on schedule.
  • Answer and route incoming phone calls in a professional and courteous manner.
  • Maintain filing systems and organize both physical and digital records for easy retrieval and accurate documentation.
  • Create, update, and manage data sheets and reports using Microsoft Excel, ensuring information is accurate and up to date.
  • Assist with document organization, tracking, and data entry to support production and office workflows.
  • Support day-to-day office operations as needed, including clerical tasks and general administrative duties.
  • Collaborate with team members in a production-focused environment to ensure information flows smoothly between the office and the production floor.
  • Handle basic customer service interactions, providing clear and professional communication to internal and external stakeholders.
