About The Position

We are seeking a proactive and detail-oriented Administrative Assistant to support daily office and field operations. This role is essential in maintaining efficient workflow and clear communication between office staff, field technicians, vendors, and subcontractors. The ideal candidate is highly organized, customer-focused, and experienced in handling multiple administrative responsibilities in a fast-paced environment.

Requirements

  • Minimum of 1 year of administrative or receptionist experience (fast-paced environment preferred)
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent customer service skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Strong verbal and written communication skills

Nice To Haves

  • Experience with Microsoft Dynamics 365 (a plus)
  • Bilingual (English/Spanish)
  • Experience in construction, or skilled trades
  • Familiarity with residential service operations

Responsibilities

  • Handle incoming and outgoing mail and packages
  • Maintain organized filing systems (electronic and paper)
  • Perform general clerical duties including filing, scanning, copying, and data entry
  • Manage office supplies and place orders as needed
  • Provide excellent customer service via phone, email, and in-person interactions
  • Set up and manage warranty service calls
  • Communicate effectively with customers, vendors, and subcontractors
  • Coordinate warranty dispatch and scheduling
  • Assist with production scheduling
  • Schedule and support field personnel and technicians
  • Assist with billing as needed
  • Prepare documents using Microsoft Word and Excel, including reports, spreadsheets, and correspondence
  • Maintain accurate electronic records and filing systems
  • Provide administrative support to office and field teams
  • Assist with ordering materials and supplies
  • Coordinate travel arrangements when required
