Responsible for client service functions for the front desk. Provides high-level administrative support for team members by handling information requests, performing clerical functions, and completing special projects. Creates a welcoming and professional atmosphere by being proactive, optimistic, and supportive. Be flexible to meet the needs of clients and firm. Seasonal overtime is required. Requirements

  • AA degree and/or experience as an Administrative Assistant
  • Strong decision-making and problem solving skills
  • Analytical skills with particular attention to detail
  • Effective, timely, and professional communication skills
  • Flexible, team player, who is also self-motivated and able to work independently with minimal supervision
  • Ability to maintain confidentiality required
  • Desire to continue to develop and enhance skills
  • Exceptional time management skills with an ability to organize and prioritize projects, and meet deadlines

  • Strong computer aptitude

Responsibilities

  • First point of contact and resource for clients
  • Responsible for answering phones, client service, maintaining a welcoming environment for clients
  • Awareness of team members schedules
  • Schedule appointments and maintaining calendars
  • Update and maintain client data
  • Processing incoming and outgoing mail, UPS, and other mailings as assigned
  • Perform administrative functions such as filing, typing, copying, binding, scanning, etc.
  • Distribute newsletters and faxes
  • Processing of 1099s and W2s, tax returns, financial statements, and audit reports
  • Manage information with the highest level of confidentiality
  • Manage and prioritize multiple projects
  • Run occasional errands
  • Encompass the CDS core values: integrity, quality, collaboration, innovation, and kindness
  • Participate in ongoing professional development to enhance interpersonal and professional skills
  • Light cleaning and organization from front areas, conference rooms, etc.
  • Perform other duties as assigned
