About The Position

The Administrative Assistant provides essential administrative and operational support to the department by maintaining accurate data, coordinating workflows, and supporting day-to-day business operations. This position serves as a backup for key administrative functions to ensure continuity of operations during absences or periods of increased workload. The role also provides opportunities to learn additional business processes and assist with departmental projects as needed.

Requirements

  • Typically requires a 2-year degree or equivalent work experience.
  • Strong administrative, organizational, and data entry skills.
  • Proficiency with Microsoft Office, including Excel, Outlook, and Word.
  • Ability to learn new software systems and business processes quickly.
  • Strong attention to detail and accuracy.
  • Excellent communication and problem-solving skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Must be able to pass pre-employment background and drug screen.

Nice To Haves

  • Experience working with ERP, CRM, or other business management systems preferred.
  • Experience supporting multiple team members or departments.
  • Willingness to learn new business processes and contribute to continuous improvement.

Responsibilities

  • Maintain and update system records, pricing, product information, customer accounts, and other departmental data.
  • Assist with daily, weekly, and monthly administrative tasks including billing support, reconciliations, reporting, and data validation.
  • Monitor data accuracy and resolve discrepancies in coordination with department personnel.
  • Prepare reports, spreadsheets, correspondence, and other documentation for internal and external use.
  • Support contract administration, documentation, and customer program maintenance.
  • Serve as backup for key administrative functions during employee absences or peak workload periods.
  • Assist with departmental processes including order entry, vendor communication, scheduling, and administrative coordination.
  • Maintain continuity of operations by developing an understanding of critical departmental workflows.
  • Learn department-specific processes and procedures to provide additional support as business needs evolve.
  • Assist with processing transactions, documentation, confirmations, and communication related to departmental activities.
  • Support special projects and process improvement initiatives as assigned.
  • Respond to internal and external inquiries regarding products, services, pricing, account information, and general department operations.
  • Provide administrative support to department leadership and team members.
  • Assist with scheduling, meeting preparation, document management, and communication across the department.
  • All other duties as assigned
