About The Position

We’re looking for an organized and proactive Administrative Assistant to support our Edmonton office and help keep our day-to-day operations running smoothly. This role works closely with engineers, project managers, and internal support teams to ensure documentation is organized, meetings are coordinated, and office operations stay on track. The Administrative Assistant plays an important role in helping technical teams stay focused on their work by keeping the administrative side of the business running efficiently. If you enjoy bringing structure to busy environments, supporting teams, and ensuring the details are handled well, this could be a great fit.

Requirements

  • Administrative or project coordination experience (experience in engineering, construction, or consulting environments is an asset)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • A high level of attention to detail and accuracy
  • The ability to manage multiple priorities and shifting deadlines
  • A proactive mindset and willingness to step in where support is needed
  • Administrative or office support experience
  • Experience with Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint)
  • Experience supporting technical teams or project environments
  • Strong document preparation, formatting, and editing skills
  • Examples of organization and multitasking in fast-paced environments
  • Experience coordinating meetings, schedules, or office logistics
  • Must be legally entitled to work in Canada

Nice To Haves

  • Experience in engineering, construction, or consulting environments
  • Experience with Adobe Acrobat or Creative Suite
  • Experience with document formatting and editing tools
  • Experience with digital file management systems
  • Examples of improving processes, organizing documentation systems, or supporting complex projects

Responsibilities

  • Supporting Partners, and Leadership, engineers and project managers with project documentation and coordination
  • Managing front office communications and interacting with clients
  • Office and company event coordination
  • Preparing and assembling reports, presentations, specifications, and technical documentation
  • Editing and formatting reports and project deliverables to ensure consistency and professionalism
  • Maintaining digital and hard copy filing systems for project documentation
  • Tracking and organizing project documentation and status updates
  • Coordinating lunch and learns, meetings, presentations, and internal events, including room bookings and materials
  • Supporting office operations, including travel bookings, courier coordination, kitchen maintenance, and supply management
  • Assisting with general administrative tasks that help project teams stay organized and efficient
  • Coordination with Property Manager for various office support requirements
