About The Position

The Administrative Assistant serves as the primary point of contact for the public, managing reception duties, customer service, and processing various documentation related to department operations. This role involves significant data entry, mail processing, and financial transactions, requiring strong communication and organizational skills. The position operates standard office equipment and requires proficiency in various software applications.

Requirements

  • High school diploma or GED required.
  • Three (3) years of administrative support experience involving customer service.
  • Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Proficiency in word processing, spreadsheet, database, presentation, Internet, and e-mail software.

Responsibilities

  • Serve as the receptionist or first point of contact for the public, answering telephone calls and greeting visitors.
  • Ascertain the nature of business, direct callers/visitors to appropriate personnel, and record/relay messages.
  • Initiate and return calls as necessary.
  • Perform customer service functions, providing information and assistance regarding department/division services, activities, procedures, fees, or other issues.
  • Distribute forms/documentation as requested and respond to routine questions or complaints.
  • Research problems/complaints and initiate problem resolution.
  • Process a variety of documentation associated with department/division operations within designated timeframes and per established procedures.
  • Receive, review, record, type, and/or distribute documentation.
  • Log, track, or maintain records regarding department activities.
  • Compile data for further processing or for use in preparation of department reports.
  • File, maintain, and store hardcopy records.
  • Perform data entry functions by keying data into computer systems.
  • Enter, retrieve, review, or modify data in computer database.
  • Scan documents into computer and verify accuracy of entered data, making corrections.
  • Index documents and maintain databases and computerized reports.
  • Process incoming/outgoing mail, including sorting, organizing, opening, and distributing incoming mail.
  • Sign for incoming mail/packages and deliver to appropriate personnel.
  • Process outgoing mail utilizing postage machine and process bulk mailing projects.
  • Receive money in payment of various fees/services, record transactions, and issue receipts.
  • Balance cash drawer and forward revenues as appropriate.
  • Communicate with supervisor, City employees, the public, and other individuals and organizations as needed to coordinate work activities, review status of work, exchange information, receive/give advice and direction, and resolve problems.
  • Operate various equipment, as necessary, to complete essential functions, including a personal computer and general office equipment.
