About The Position

This is a part-time Administrative Assistant position for the Forensic Multidisciplinary Team, working 20 hours a week, Monday through Friday, from 8 am to 12 pm. The role involves organizing, coordinating, and monitoring the non-clinical operations of the team, providing direct support to staff, and serving as a liaison between team participants and staff. The position requires maintaining client records in an electronic medical record system, ordering and maintaining supplies, and greeting office visitors. Key responsibilities include triaging calls, addressing urgent situations, preparing correspondence and reports, and coordinating with various judicial and law enforcement agencies. The role also involves processing enhancement fund requests and managing client benefit and insurance information. A strong emphasis is placed on maintaining positive relationships, providing excellent customer service, and ensuring accurate and timely reporting.

Requirements

  • High school diploma or equivalent
  • Extensive clerical experience
  • Computer and typing skills that reflect accuracy and speed
  • Flexibility, strong organizational skills, and ability to handle multiple, simultaneous tasks
  • Ability to make independent decisions and prioritize and meet multiple simultaneous deadlines
  • Experience working with Forensic Population
  • Must be 21 years of age
  • Negative Drug Screening prior to hire and throughout employment
  • Clear Criminal Background Check throughout employment with Suncoast Center and local checks prior to hire and annually
  • DCF Level II clearance prior to hire and as required by DCF
  • Valid Florida Driver’s License
  • Motor Vehicle checks prior to hire and annually with acceptable driving record maintained throughout employment
  • Reliable vehicle, valid registration, and valid vehicle insurance
  • Must be in compliance with Florida Laws and Administrative Codes with fingerprinting and determined to be of good moral character
  • Computer Literate

Responsibilities

  • Organizing, coordinating, and monitoring the non-clinical operations of the FMT.
  • Providing direct support to staff, serving as a liaison between FMT participants and staff.
  • Attending to the needs of office walk-ins and calls from individuals and their natural supports.
  • Utilizing an electronic medical record to maintain FMT client records according to agency standards and other certifying bodies.
  • Ordering and maintaining unit supplies, equipment, and furniture.
  • Greeting people at the FMT office and answering telephone calls, including triaging and coordinating communication, getting answers to questions, relieving urgent situations, attending to symptomatic behavior, and referring calls to other staff.
  • Ensuring that program forms are current and available for staff use.
  • Preparing letters, memos, and reports using word-processing or excel programs.
  • Requesting medical records and authorizations through the HIM department.
  • Designing and maintaining forms to obtain and maintain insurance information regarding all persons served by FMT.
  • Processing other benefit requests for individuals and helping with insurance enrollment as needed.
  • Speaking consistently in a warm, friendly manner to all persons served, guests and staff.
  • Following up with all pending client issues.
  • Coordinating with staff to obtain solutions to problems.
  • Providing excellent solution-focused customer service.
  • Collecting necessary data and preparing reports, ensuring accuracy and timeliness.
  • Maintaining close working relationships with judicial assistants, the Office of the Public Defender, the Office of the State Attorney, the Clerk of the Courts Office, and local law enforcement.
  • Processing and coordinating enhancement fund requests, monitoring the utilization of the fund, and providing a monthly report to the Team Leader.
  • Sorting, routing, and prioritizing incoming mail with distribution to appropriate staff.
  • Accomplishing individual goals.
