About The Position

Hiossen, a leading global manufacturer of dental implants and equipment, is seeking an Administrative Assistant for its Columbia, MD branch. This role is crucial for ensuring excellent customer service, managing warehouse inventory, processing orders, and supporting sales and administrative functions. The ideal candidate will have strong customer service skills, proficiency in MS Office and relevant software, and a high school diploma with at least two years of administrative experience in a sales office environment. The position involves both office-based tasks and approximately 20% of time spent in the warehouse fulfilling orders and managing stock.

Requirements

  • Excellent customer service skills.
  • Basic knowledge of Hiossen products.
  • Proficiency in MS Office (Word, Excel & Power Point).
  • Proficiency in Pipeline, ERP system and other applicable Hiossen software and systems.
  • Knowledge of Hiossen bar code system in conjunction with ERP system and other tracking procedures.
  • High School Diploma.
  • At least 2 years of successful experience as an administrative assistant in a sales office environment.
  • Ability to read, write, understand and communicate clearly with employees, customers and within Hiossen.
  • Ability to satisfactorily read, interpret, prepare reports and other job related information and satisfactorily communicate information within the scope of Administrative Assistant's job duties.
  • Sufficient aptitude to learn aspects of Hiossen products to accurately and effectively communicate information to Hiossen customers.
  • Required to maintain product knowledge at all times.

Responsibilities

  • Answer incoming customer calls from dentists and dental personnel promptly and professionally, handling questions and requests to ensure excellent customer service.
  • Respond to incoming faxes and emails, providing product information to customers.
  • Coordinate and track stock and all items stored in the branch warehouse, assisting the sales team with warehouse and stock records.
  • Process product orders daily in accordance with Hiossen policies, including pulling stock, scanning barcodes, and completing related order processing tasks.
  • Register attendees at AIC seminars, preparing documentation and coordinating meals and refreshments.
  • Handle product returns, including paperwork, recordkeeping, and reporting, ensuring proper customer account crediting.
  • Work collaboratively with Hiossen Finance, Corporate, Branch, and Regional offices.
  • Maintain adequate product and technical knowledge of all Hiossen products, procedures, and policies.
  • Prepare and submit reports as directed by the Regional Sales Manager or Branch Manager.
  • Perform other administrative duties as assigned.
