Requirements

  • A practicing Catholic eager to carry out the mission of the Archdiocese to rescue all people in Jesus Christ for the glory of the Father.
  • Understand and align with the values and mission of the Catholic Church in an apostolic age
  • Strong commitment to Catholicism and the New Evangelization; able to coordinate and lead team efforts.
  • High school diploma or equivalent required; associate’s degree or higher preferred.
  • 2–4 years of administrative support experience in office, school, nonprofit, or similar settings.
  • Experience with financial processing, digital filing, records retention, and supporting multiple leaders preferred.
  • Proficiency in Microsoft Office, SharePoint, and Teams required; familiarity with accounting/ERP systems (e.g., Intacct) a plus.
  • Strong written and verbal communication skills, with ability to prepare documents and meeting materials.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong organizational and time management skills.
  • Ability to manage multiple tasks and deadlines.
  • Proficiency with Microsoft Office, SharePoint, Teams, and digital file systems.
  • Strong written and verbal communication skills.
  • Experience with financial processing or accounting systems preferred (e.g., Intacct).
  • Ability to maintain confidentiality and handle sensitive information.
  • Valid driver’s license and ability to travel to parishes and event locations.

Responsibilities

  • Financial Support: Provide financial support by preparing annual budget documentation; reviewing and reconciling general ledger and Intacct reports; processing purchase requests in alignment with approved budgets; reviewing, coding, and submitting invoices and expense reports; and preparing and submitting OCS and CSAL stipend requests.
  • Meeting Coordination: Coordinate meetings by preparing agendas and presentation materials; tracking participation and logistics; preparing and distributing sign-in sheets and resources; and compiling, sharing, and uploading evaluation results.
  • Records Retention and File Management: Manage and maintain paper and digital records for OCS and AoDCS schools in accordance with the Archdiocese of Denver Records Retention Schedule, including archives, SharePoint and Teams files, principal and employee files, student transcripts, and reporting flows, while supporting HR and coordinating new libraries, Teams, and channels as needed.
  • Executive Support: Provide executive support by managing calendars and preparing documents, memos, and correspondence for the Superintendent and Associate Superintendents.
  • Communications and Coordination: Serve as Secretary for the Board of Members and primary point of contact for internal communications, coordinating meeting materials, invites, Zoom links, and minutes; maintaining Board and internal files; sending updates to school leaders and staff; managing concierge tickets; and collaborating with the OCS team on responses and document management.
