About The Position

AST SpaceMobile is building the first and only global cellular broadband network in space to operate directly with standard, unmodified mobile devices based on our extensive IP and patent portfolio and designed for both commercial and government applications. Our engineers and space scientists are on a mission to eliminate the connectivity gaps faced by today’s five billion mobile subscribers and finally bring broadband to the billions who remain unconnected. This position is based in our satellite production facility in Midland, TX. We are seeking an Administrative Assistant who will support the daily operations of the Production by performing essential administrative and clerical tasks that ensure accurate documentation, smooth workflow coordination, and timely communication across teams. This role is vital in maintaining operational efficiency, resolving system and vendor issues, and delivering reliable service to both internal and external stakeholders.

Requirements

  • Associate degree preferred or equivalent combination of education and experience
  • Minimum of 5 years of hands-on administrative experience within a warehouse, manufacturing, production, or similar industrial environment
  • Warehousing and inventory coordination experience
  • Experience using Tulip or similar operational workflow systems
  • Proficiency with Microsoft Office 365 (Excel, Word, Outlook, PowerPoint)
  • Experience with invoicing, claims processing, petty cash, and departmental budget tracking
  • Experience coordinating meetings, events, and internal team activities
  • Strong interpersonal skills with a proven ability to collaborate effectively within cross-functional teams
  • Excellent written and verbal communication skills
  • Meticulous attention to detail to ensure accuracy of documentation, reporting, and project deliverables
  • Ability to maintain confidentiality and handle sensitive information with professionalism and discretion
  • Must be authorized to work in the United States
  • Ability to work in a manufacturing environment with exposure to noise, dust, and varying temperatures
  • Ability to follow instructions and work independently or collaboratively within a team environment
  • Ability to work in a standard office environment and use a computer for extended periods of time
  • Ability to sit, stand, and/or walk for extended periods, including working on hard concrete surfaces for up to 8–12 hours per day
  • Ability to use hands and fingers to perform repetitive and precision tasks, including typing for extended periods of time

Responsibilities

  • Manage daily office operations and ensure smooth administrative workflow.
  • Handle correspondence, emails, phone calls, and scheduling for management and teams.
  • Prepare, edit, and distribute reports, memos, and official documentation.
  • Maintain accurate filing systems (digital and physical) for easy data retrieval.
  • Support onboarding and offboarding of employees; maintain personnel files.
  • Ensure proper archiving of internal and external documentation.
  • Maintain compliance records, certifications, and company policy documents.
  • Coordinate document approvals and signatures as required.
  • Maintain staff rosters, attendance, and shift schedules.
  • Track employee leaves, absences, and overtime in coordination with management.
  • Provide weekly and monthly attendance reports to management.
  • Ensure accurate and timely updates to scheduling and shift allocations.
  • Serve as the main point of contact for visitors, vendors, and external stakeholders.
  • Monitor and control access to the office, maintaining security and confidentiality.
  • Manage visitor logs, employee entry/exit records, and deliveries.
  • Ensure professional communication flow between departments and external contacts.
  • Oversee the cleanliness, organization, and functionality of the office environment.
  • Coordinate facility maintenance, repairs, and safety inspections.
  • Liaise with vendors, contractors, and service providers for office upkeep.
  • Manage utilities, parking, security, and other facility-related logistics.
  • Ensure compliance with health, safety, and environmental regulations.
  • Assist in processing invoices, expense claims.
  • Maintain vendor records and assist in procurement of office supplies.
  • Track office budgets and report any deviations to management.
  • Develop and enforce office policies, standards, and operating procedures.
  • Identify opportunities for process improvement and increased efficiency.
  • Support planning of internal events, meetings, and employee engagement activities.
