About The Position

The Administrative Assistant works under the supervision of the Head of School (HOS)/Academic Dean and is responsible for assisting with a wide variety of complex and confidential administrative tasks. This role requires the ability to prioritize conflicting needs, handle matters proactively with timely professional communication, and manage large volumes of information and calls. The assistant will maintain appointment schedules, organize complex activities like meetings and travel, and act as a project manager for special projects. The position demands initiative, judgment, and the capability to work under demanding deadlines in an active environment, while professionally welcoming diverse callers and visitors. Responsibilities include writing, editing, and distributing school information, assisting with event planning, attending meetings, and participating in professional development.

Requirements

  • Associate or bachelors degree preferred.
  • College level course work in business, word processing, and office procedures preferred.
  • Must verify legal right to be employed in the United States within 72 hours of employment.

Responsibilities

  • Upholds CECs beliefs found on the CEC website.
  • Ensures that the HOS/Academic Dean are well informed of commitments, responsibilities, and other matters that require attention.
  • Prioritizes conflicting needs and handles matters proactively and with timely professional communication with all relevant stakeholders.
  • Organizes and prioritizes large volumes of information and calls.
  • Maintains appointment schedules for both HOS/Academic Dean, and organizes complex activities such as meetings, travel, telecommunications, and conferences.
  • Works independently and within a team on special nonrecurring and ongoing projects.
  • Acts as project manager for special projects, at the request of the HOS/Academic Dean.
  • Uses initiative and judgement to anticipate potential challenges and provide solutions.
  • Able to work under demanding deadlines and has the capability to multi-task in an active environment.
  • Professionally welcomes a diverse group of important external callers and visitors, as well as internal staff at all levels of the organization.
  • Writes, edits, collates, and distributes school information to students, parents/guardians, and staff.
  • Assists in planning and scheduling department events and activities, and maintaining calendar of department events
  • Attends related meetings as requested by the HOS/Academic Dean.
  • Participates in professional development as requested by the HOS/Academic Dean.
  • Other duties as assigned.
