About The Position

The Administrative Assistant/Timber will perform a wide variety of clerical/accounting tasks and perform related work as required. Attention to detail, organizational skills, and the ability to multitask will be essential in ensuring the smooth functioning of daily operations and supporting the overall productivity of our team.

Requirements

  • High school diploma or GED.
  • Familiarity with accounting principles.
  • Proficiency in computer systems including Microsoft Excel, Word, PowerPoint, electronic scheduling and e-mail, and financial planning software.
  • Operate modern office equipment such as personal computers, copy machines, fax machines, telephones, calculators, and scanners.
  • Organizational Skills: The ability to manage time, prioritize tasks, and meet deadlines. Examples include time management, multitasking, and project management.
  • Soft Skills: Communication: The ability to express ideas clearly and effectively, both verbally and in writing.
  • Teamwork: The ability to work collaboratively with others towards a common goal.
  • Ability to pass a hair follicle drug test, post-offer pre-employment physical, and background check.
  • Valid Driver’s License with acceptable motor vehicle history for business travel in company vehicle.

Nice To Haves

  • Previous timber accounting or resource procurement experience preferred.

Responsibilities

  • Ensure weigh station functionality, including assisting trucks when issues arise.
  • Cover phone and scales for multiple sites as necessary.
  • Prepare, audit, and maintain daily/weekly/monthly reports with department specific software.
  • Compile tickets, verify accuracy of tickets, sort and file, distribute and maintain accordingly.
  • File and maintain documents for record retention.
  • Upload weight and scale information from scales, run conversion, generate LPI, verify accuracy, distribute reports.
  • Set up supporting documents in the computer software for the Timber Accountant as necessary.
  • Assign or issue ticket books when necessary.
  • Enter and prepare payables.
  • Produce, review and distribute semi-monthly timber accounts payable supporting documents and checks with a high level of accuracy.
  • Residual ticket reconciliation, reporting, and filing as needed.
  • Adhere to standardized accounting principles and procedures.
  • Maintain & develop SOPs where needed.
  • Vendor management, insurance certificate, direct deposit, W-9 verification.
  • Cross train and cover for team members as needed.
  • Other duties as assigned.
