About The Position

The AAA Newington Fleet is seeking an experienced Administrative Assistant to perform administrative tasks, often of a confidential nature, in support of a departmental management team. This role involves coordinating office services, preparing reports and correspondence, handling member and associate inquiries, planning meetings, and managing workflow to meet deadlines. The position requires a high school diploma or equivalent experience, with a preference for two years of administrative experience in a high-volume customer service-related field. Proficiency in PC-based software, including MS Office (Word, Excel, PowerPoint), is essential. The role also includes successfully completing departmental training within 60 days of hire and potentially adjusting schedules to attend training.

Requirements

  • High school diploma or equivalent experience
  • Two years of administrative experience in a high volume customer service related field preferred.
  • Ability to type correspondence, memos, and reports with demonstrated knowledge and proficiency of PC-based software programs (i.e. MS Office, Word, Excel, Power Point).
  • Successfully complete required departmental training courses within 60 days of hire.
  • Successfully complete ongoing department training as required.

Responsibilities

  • Assists management by coordinating office services, such as personnel, budget preparation and control, housekeeping, records control, and special management duties.
  • Prepare reports, presentations, and correspondence.
  • Answering inquiries with regard to member inquiries/complaints and/or Associate inquires.
  • Plans meetings as required on behalf of the department; would include but not be limited to scheduling dates, locations, coordinating logistics, transportation needs, presentation requirements, and technology setup.
  • Assists as needed with the handling of member complaints addressed to the manager; including writing responses to members, assigning follow-up to the appropriate person in the organization and tracking the complaint to resolution.
  • Manage work flow to assure all deadlines are met.
  • Other duties as assigned.
