About The Position

Movement Solutions is looking for an Administrative Assistant to join our team. This person will work to support the daily operations of the office and build relationships with prospective patients. The ideal candidate for this role has experience with inside sales, following up with prospects, and communicating with a team. He/she should also be comfortable with day-to-day administrative tasks, learning new software, meeting deadlines, and adapting to changing needs.

Requirements

  • High school diploma
  • 1-2 years experience as an administrative assistant, secretary, or receptionist preferred
  • Strong organizational, communication, and time-management skills
  • Proven ability to work in a fast-paced environment
  • Positive, high-energy attitude
  • Resourcefulness, creativity, and problem-solving skill set
  • Familiarity with office equipment (i.e. printers, fax machines, projectors)
  • Proficiency in learning new software
  • able to handle objections/rejections and persistence in follow-up
  • proficient in computer skills
  • comfortable speaking to strangers and hesitant patients
  • good storyteller/conversationalist
  • listening and empathy towards others

Responsibilities

  • Answer phone calls/general email inquiries and route to the appropriate internal parties as needed.
  • Build out and maintain processes to keep files and office supplies organized and easily accessible.
  • Act as point person for clients of our practice.
  • Persistent follow-up via phone, email, and text.
  • Ability to make quality phone calls (be able to listen for ~20 minutes so our patients feel heard).
  • Keep accurate records of phone calls and follow-ups.
  • Send follow-up emails to support phone calls.
  • Reactivate past patients.
  • Put together/process follow-up packages ("WOW" boxes).
  • Prepare itemized receipts.
  • Schedule patients using electronic software.
