About The Position

UDC is seeking a highly organized and service-oriented Administrative Assistant to support our headquarters office in Englewood, CO. This full-time, in-office role is responsible for creating a welcoming office environment while managing front desk operations, office administration, facilities coordination, office technology support, travel and expense assistance, meeting and event coordination, and employee engagement activities to ensure the office runs smoothly and efficiently.

Requirements

  • 1–3 years of administrative, office support, customer service, or clerical experience.
  • Strong interpersonal skills and the ability to communicate effectively, both written and verbally.
  • Highly organized with a strong focus on accuracy, consistency, and attention to detail.
  • Strong judgment, reliability, and ability to manage multiple priorities effectively.
  • Strong customer service skills with the ability to communicate professionally, respond to inquiries, and provide a positive experience for internal and external customers.
  • Ability to adapt to changing priorities, learn new processes quickly, and work collaboratively with colleagues.

Nice To Haves

  • Notary Public license preferred, with the ability and willingness to become a licensed Notary Public, if not currently certified.

Responsibilities

  • Greet and direct all visitors at the front desk, including employees, vendors, and clients; answer and route incoming calls; provide a welcoming office experience.
  • Process, sort, and distribute incoming mail; prepare and ship outgoing mail and packages, including FedEx.
  • Manage office and kitchen inventory, order supplies, maintain postage, coordinate office equipment maintenance and repairs, and run occasional office errands.
  • Assist employees with office equipment and provide visitors with workspace assistance and office information.
  • Coordinate business travel arrangements and assist with booking flights, accommodations, transportation, and other travel-related needs.
  • Process and submit travel and business expense reports for administrative and senior management team.
  • Coordinate catering and beverages for onsite meetings, coordinate Colorado office events including holiday celebrations, and monthly potlucks.
  • Assist with facility-related needs, including HVAC, plumbing, parking, pest control, and other office maintenance issues. Coordinate with the Facilities Manager and serve as the onsite point of contact for contractors and vendors completing facility work orders.
  • Maintain appropriate confidentiality regarding mail, HR and accounting information that may come across the desk or the printer.
  • Responsible for ordering company business cards for new and existing employees.
  • Assist with equipment distribution, set up, placement, and returns in the Colorado office.
  • Coordinate local volunteer events in Colorado and support the planning and tracking of volunteer opportunities for remote employees.
  • Make photocopies and scans, including electronic filing of documents.
  • Keep conference rooms, kitchen, and common area in good order.
  • Print, post or distribute signage as necessary.
  • Provide notary services for company documents, as needed.
