About The Position

This role is responsible for a variety of administrative tasks to support the daily operations of the center. The Administrative Assistant will maintain positive relationships with staff, parents, and children, manage reports and logs, assist with on-boarding new hires, and ensure compliance with state and company requirements. The position also involves ordering supplies, organizing paperwork, and handling communication via phone and email. Additionally, the role may require assisting with enrollment inquiries, facility tours, and transporting children.

Requirements

  • Child care credentials
  • 2 years’ experience working in a child care center
  • Able to work an average of 40 hours per week
  • Able to lift no less than 40 pounds

Responsibilities

  • Develop and maintain positive, professional, working relationships with staff.
  • Take an active role in planning and participating in academy activities (staff meetings, training sessions, open houses, and family/school-wide events).
  • Manage and maintain reports and logs.
  • Accept all work assignments in the event regularly scheduled personnel are not available.
  • Assist in daily supervision of staff; keep director apprised with staff concerns and situations needing attention.
  • Complete and submit required paperwork and record-keeping on a timely basis, maintaining an organized, up-to-date manner.
  • Develop and actively maintain positive communication with parents.
  • Assist with new hire on-boarding, including offering new staff orientation and training.
  • Order paper, office, and classroom supplies.
  • Monitor all topical ointments and permission slips to ensure they meet state and company requirements.
  • Organize permission slips for field trips.
  • Review all children’s daily reports for accuracy, including dietary restrictions and daily pictures.
  • Pass out supplies and deliveries, keeping a record of what is ordered and what was delivered.
  • Answer phones and email in a timely manner while offering the most up-to-date information.
  • Recognize parent concerns and report them to the director.
  • Assist with enrollment inquiries, follow-up, and facility tours to increase enrollment.
  • Transport children on the school bus as needed.
  • Perform other similar or related duties as necessary.
