About The Position

Westchester Jewish Community Services (WJCS) is an award-winning nonprofit, nonsectarian human services organization founded in 1943. Today, it has grown to be the largest provider of licensed outpatient community behavioral health services and one of the largest human service agencies in Westchester County. WJCS delivers innovative programs and services and compassionate care to more than 20,000 people of all ages and backgrounds throughout the county. We are currently seeking an Administrative Assistant to join our team at the Trager Lemp Center for Trauma and Resilience (TLC) program. In this role, you will be responsible for administrative support for the TLC program. The salary range for this full-time position is $53,000 - $57,000.

Requirements

  • Associates degree or 5 years of experience as an Administrative Assistant
  • Excellent organizational skills and detailed oriented
  • Exceptional customer services abilities
  • Excellent computer skills, including Microsoft Excel and Word
  • Strong writing skills with ability to compose and edit correspondence
  • Ability to comprehend and handle the varied activities of a large and diversified Agency.
  • Strong interpersonal skills with the ability to establish and maintain effective working relationships and to relate well with supervisors, program officials, employees and community partners
  • Good knowledge of community resources and their use.
  • Ability to communicate effectively in English, both orally and in writing.

Nice To Haves

  • Bi-lingual skills a plus.

Responsibilities

  • Receive and screen all incoming referral calls for the TLC program
  • Responsible for coordinating and tracking referrals from providers, community agencies
  • Assist with assigning cases to clinicians and ensuring a smooth coordination
  • Responsible for entering referral information in the Electric Health Record
  • Assist with maintaining referral databases and providing statistical data to supervisors and grantors
  • Assist with day-to-day operations of the TLC program: creating training and policy binders and files, article binders, and ordering supplies and materials
  • Assist with grant requirements and duties
  • Regularly attend team meetings and take minutes, coordinate meetings, coordinate requests on behalf of the clients
  • Manage requests for records and documentation from outside agencies
  • Maintain records to conform to agency policies and procedures and to regulatory agencies directives.
  • Assist with special projects or ad-hoc tasks and run reports
  • Copying, filing, reporting and maintaining records
