About The Position

CGI is seeking a highly organized, proactive, and resourceful Administrative Assistant to join our team! The ideal candidate will demonstrate exceptional time management skills and a proven ability to provide high-level support in a fast-paced environment. Requires a detail-oriented professional who can anticipate needs, manage competing priorities, and handle confidential information with discretion. This is a fully onsite position located at our CGI office in Sacramento, CA, requiring attendance five days per week!

Requirements

  • High school diploma with minimum of 5+ years of related executive-level administrative support experience
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities
  • Strong written and verbal communication skills; comfortable interacting with senior leadership and external partners
  • Highly proficient in Microsoft Office Suite and SharePoint
  • Advanced calendaring experience supporting multiple executives
  • Strong note-taking skills with the ability to track and follow up on action items
  • Ability to work independently with sound judgment and strong problem-solving skills
  • High level of professionalism, integrity, and attention to detail
  • Proven ability to maintain confidentiality and exercise discretion
  • Ability to remain calm under pressure and resolve issues efficiently
  • Flexibility to work outside of standard business hours when needed
  • Strong relationship-building skills across teams and stakeholders
  • Proactive mindset with a focus on improving processes and efficiency
  • Professional presence with a positive, energetic attitude
  • Experience booking domestic and international travel, including air, ground transportation, and lodging

Responsibilities

  • Provide comprehensive support to senior executives, including calendar management, meeting coordination, travel arrangements, and completion of ad hoc projects and data requests
  • Serve as a primary point of contact between executives and internal/external stakeholders, ensuring timely and professional communication
  • Prepare reports, presentations, meeting agendas, and minutes; ensure accuracy, organization, and timely delivery; manage executive signature approvals
  • Plan and execute meetings, conferences, and local events, including logistics, venue selection, and catering
  • Handle sensitive and confidential information with the highest level of discretion
  • Oversee office operations and supplies to maintain an efficient work environment; provide backup receptionist support as needed
  • Partner with other administrative professionals, departments, and external stakeholders to ensure seamless operations
  • Coordinate complex domestic and international travel, accommodations, and expense reporting with a focus on efficiency and cost-effectiveness
