About The Position

The h.wood Group is seeking a highly organized, polished, and resourceful Administrative Assistant to support the SVP of Human Resources and oversee the day-to-day operations of the corporate office. This role combines executive-level administrative support with hands-on office management and requires sound judgment, discretion, attention to detail, and the ability to anticipate needs in a fast-paced hospitality environment. The ideal candidate is dependable, polished, calm under pressure, and genuinely enjoys creating order and supporting others. They understand that no task is too small, can shift easily between executive priorities and office needs, and take pride in helping the workplace run smoothly.

Requirements

  • Prior experience as an Administrative Assistant, Executive Assistant, Office Manager, or a similar administrative role.
  • Exceptional organization, time management, and follow-through, with the ability to manage competing priorities and frequent changes.
  • Strong written and verbal communication skills and a consistently professional demeanor.
  • High level of discretion and sound judgment when handling confidential or sensitive information.
  • Proactive, service-oriented, and resourceful approach; able to work independently and anticipate needs.
  • Strong attention to detail and accuracy in scheduling, documents, expenses, and recordkeeping.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Comfort using standard office equipment and learning new systems and technology.
  • High school diploma or equivalent required

Nice To Haves

  • Hospitality, restaurant, entertainment, or other fast-paced service-industry experience is a plus.
  • associate's or bachelor's degree preferred.

Responsibilities

  • Open and prepare the corporate office each business day and help ensure the workplace remains organized, presentable, and fully operational.
  • Welcome visitors, candidates, vendors, and employees; answer and direct incoming calls and inquiries professionally.
  • Maintain office, kitchen, and hospitality supplies; monitor inventory and place orders within approved budgets.
  • Oversee conference room readiness and coordinate meeting setup, and cleanup as needed.
  • Manage incoming and outgoing mail, deliveries, shipping, copying, scanning, filing, and other general administrative tasks.
  • Coordinate office repairs and maintenance and serve as the primary contact for building management and vendors, including cleaning, parking, security, and equipment providers.
  • Assist with employee events, celebrations, meetings, and other company activities.
  • Identify office needs and implement practical improvements to systems, organization, and day-to-day workflow.
  • Manage the SVP of Human Resources' calendar, schedule meetings, coordinate appointments, and proactively resolve scheduling conflicts.
  • Coordinate executive and group travel arrangements, itineraries, reservations, and related logistics.
  • Prepare expense reports, organize receipts, and manage corporate card allocations accurately and on time.
  • Support special projects, maintain organized files and record, and follow up with internal and external stakeholders on deadlines and deliverables.
  • Assist with interview scheduling, candidate coordination, onboarding logistics, and other administrative HR needs while maintaining strict confidentiality.
  • Serve as a professional and discreet point of contact on behalf of the SVP of Human Resources.
