About The Position

We are seeking a detail-oriented and organized Administrative Assistant to support our healthcare team at the Laramie County Detention Center located in Cheyenne, Wyoming. This position plays a vital role in maintaining medical records, coordinating outside appointments, processing release of information requests, and providing administrative support to ensure efficient healthcare operations within a correctional setting. The ideal candidate is professional, dependable, and able to maintain strict confidentiality while working in a fast-paced environment.

Requirements

  • High school diploma or GED required.
  • Previous administrative, medical office, healthcare, records management, or clerical experience.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Ability to maintain confidentiality and professionalism in a secure environment.
  • Strong written and verbal communication skills.

Nice To Haves

  • Proficiency with Microsoft Office and electronic record systems preferred.

Responsibilities

  • Scan and upload paper documents into the electronic medical record (EMR).
  • Review medical records for accuracy and completeness before scanning.
  • Process and track Release of Information (ROI) requests and maintain HIPAA documentation logs.
  • Monitor outstanding records requests and reconcile records received from outside providers.
  • Coordinate approvals and scheduling for outside medical appointments.
  • Maintain confidentiality regarding patient appointments and protected health information.
  • Assist with administrative functions including: Tracking statistical and operational data, Faxing medical record requests, Reconciling incoming records, Inventorying and ordering medical and pharmaceutical supplies.
  • Prepare packets and supporting documentation for quality improvement, infection control, and medical advisory committee meetings.
  • Prepare agendas, handouts, and meeting minutes for monthly staff meetings.
  • Attend mandatory monthly staff meetings and annual training sessions.
  • Work collaboratively with healthcare staff, detention center personnel, and leadership.
  • Follow all facility policies, PREA standards, and established chain of command.
  • Must comply with all County policies and procedures regarding security and inmate interactions.
  • Must adhere to HIPAA regulations and confidentiality standards.
  • Perform other duties as assigned.
