About The Position

As an Administrative Assistant you will provide essential administrative and clerical support to help ensure the efficient day-to-day operations of the branch. This role supports managers, field teams, and office staff by coordinating information, maintaining accurate records, and assisting with customer, vendor, and internal communications. The ideal candidate is organized, dependable, and comfortable working in a fast-paced, service-oriented environment.

Requirements

  • High school diploma or equivalent required.
  • 1–3 years of administrative or clerical experience in an office or operational environment.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment.
  • Attention to detail and accuracy in data entry and documentation.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a team environment.

Nice To Haves

  • Experience working in landscaping, construction, facilities services, or a similar field-based industry.
  • Familiarity with scheduling, invoicing support, or customer service functions.
  • Experience supporting managers or field operations teams.
  • Basic knowledge of accounting, payroll, or HR administrative processes.
  • Bilingual (English/Spanish) a plus.
  • Strong customer service mindset and problem-solving skills.
  • Acumatica experience is a plus!

Responsibilities

  • Provide general administrative support to operations and office teams, including filing, data entry, document preparation, and correspondence.
  • Answer and route incoming phone calls, emails, and inquiries in a professional and timely manner.
  • Maintain accurate records related to customers, vendors, employees, and service activities.
  • Assist with scheduling, work orders, service requests, and coordination with field crews.
  • Support basic accounting and administrative tasks, such as invoice preparation, purchase order processing, and expense tracking.
  • Coordinate and distribute internal communications and assist with reporting as needed.
  • Maintain organized electronic and physical filing systems in accordance with company standards.
  • Support compliance efforts by assisting with documentation related to safety, licensing, and regulatory requirements.
  • Perform additional clerical and administrative duties as assigned.
  • Facilitate the uniform order request process at the branch level
  • Greet all incoming visitors and manage walk in applicant traffic
  • Performing other tasks as assigned
