About The Position

Bergkamp Inc. is seeking a dedicated Administrative Assistant to provide comprehensive administrative support, primarily to the Human Resources Manager concerning personnel and recruitment matters. This role also involves attending to visitors and handling inquiries via phone and in person, ensuring a professional image for the company. The ideal candidate will be a humble, hungry, and smart team player committed to Bergkamp's mission of making roads better and, by extension, improving communities. Bergkamp manufactures heavy equipment for asphalt road maintenance and construction, contributing to vital infrastructure development.

Requirements

  • High school diploma or equivalent.
  • Three years of increasingly responsible work experience in a clerical support position; or any combination of education, training and experience that demonstrates the ability to perform the duties of the position.
  • Maintains high standards of confidentiality.
  • Excellent written and verbal communication skills, with the ability to clearly communicate detailed information to customers, coworkers and management.
  • Excellent customer service skills with the ability to interact in a positive and professional manner to develop and maintain strong working relationships with customers, coworkers and management.
  • Ability to read and interpret documents such as invoices, procedure manuals and job instructions.
  • Ability to write routine reports and business correspondence.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate figures and amounts such as proportions and percentages.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to manage time effectively and prioritize tasks to meet deadlines.
  • Strong attention to detail and organizational skills.
  • Ability to operate computer and computer software, to include Microsoft Office.
  • Ability to use department equipment such as computer, fax machine, copy machine, and telephone.

Responsibilities

  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image.
  • Performs customer service functions by answering telephone calls, employee requests, and questions.
  • Greets persons entering the organization and directs them to their correct destination.
  • Works with Human Resources Manager to develop and run advertising programs (internal and external) to ensure high visibility with potential candidates.
  • Develops and maintains an excellent relationship with internal and external candidates to ensure achievement of staffing goals.
  • Maintains Safety Data Sheet (SDS) database; uploads new products and/or archives products no longer used.
  • Supervises the employee uniform distribution to include new employee enrollment as well as employee concerns and problems associated with their uniforms or t-shirts.
  • Manages the company leadership library and keeps an accurate account of all materials.
  • Responsible for planning special employee events such as Christmas party, meals, working lunch meetings, etc.
  • Schedules appointments and conference room(s) use as needed.
  • Receives and distributes mail and deliveries.
  • Assists with employee travel arrangements as needed.
  • Performs other related duties as required and assigned.
  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
  • Negotiates the purchase of office supplies and furniture, office equipment etc., in accordance with company purchasing policies and budgetary restrictions.
  • Handles special projects as assigned by upper management.
  • Records and distributes minutes from All Employee Meetings.
