The Office Administrator will provide critical program management and logistical support to the NUWC MILSATCOM engineering team. This role is responsible for the formal management of contract deliverables and maintaining the operational readiness of KBR’s San Diego Office.

Requirements

  • High School Diploma
  • Logistical Expertise: Demonstrated experience scheduling and hosting professional meetings within government or defense contracting facilities.
  • Communication: Proven ability to communicate effectively with executive-level staff, vendors, and government customers.
  • Process Control: Understanding of configuration management and baseline control as it applies to administrative and program documentation.
  • Security Clearance: Ability to obtain a SECRET security clearance

Nice To Haves

  • Higher Education (Associate Degree / Bachelor Degree)
  • Experience working in the defense domain
  • Prior experience managing an office or serving as an admin / executive assistant
  • Prior experience working as a facility security officer (FSO / AFSO)

Responsibilities

  • Program Management Support: Assist Program Manager & engineering leads with the tracking and submission of internal documents and financial claims to ensure alignment with policy.
  • CDRL Management: Oversee the life cycle of Contract Data Requirements Lists (CDRLs) and required training, ensuring all technical oversight leads meet government submission deadlines.
  • Engineering Lead Support: Coordinate scheduling for multiple engineering leads, including booking conference rooms and meeting spaces at both KBR facilities and government sites.
  • Facility Hosting & Security: Act as the primary host for the KBR office, overseeing visitor check-in/check-out procedures and ensuring compliance with secure facility protocols.
  • Travel & Logistics: Upon request Manage travel bookings and requirements for program manager supporting as contractual obligations.
  • Budget & Facility Oversight: Support the facilities team in annual budget planning and interact with property management to maintain the San Diego office footprint.
  • Administrative Procurement: Manage the procurement of office supplies and other materials as needed to for the San Diego Office.
