About The Position

We are seeking an Administrative Assistant to manage a variety of important administrative, recruitment, travel, reception, accounting, and docketing tasks. This position reports to the Administrative Manager and works closely with the administration team.

Requirements

  • Graduation from high school or possession of a G.E.D. equivalent; AND five (5) or more years of progressively responsible administrative experience related to office management or a major administrative function for a department or division.
  • Possession of an Associate degree or Professional Certification in business administration, public administration, or related field may substitute for two (2) years of required work experience.
  • Criminal background check
  • Must obtain Criminal Justice Information Services (CJIS) Certification within 30 days of employment

Nice To Haves

  • Knowledge of principles and practices of administrative support services administration in the public sector including methods and techniques used in financial administration, personnel administration, purchasing, project management, and contracting.
  • Knowledge of procedures and techniques of budget preparation and accounting and the ability to implement and maintain standard filing and accounting systems.
  • Knowledge of principles and practices of sound business communication; correct English usage, spelling, punctuation, grammar, and composition.
  • Skills to organize and maintain office/administrative systems and procedures.
  • Skills to understand, interpret, and apply County and department policies, procedures, and technical materials.
  • Skills to compose correspondence requiring a high degree of initiative and judgment.
  • Skills to define administrative problems and recommend and implement solutions.
  • Ability to follow complex oral and written instructions.
  • Ability to manage multiple and rapidly changing priorities.

  • Ability to implement and maintain standard filing systems.

Responsibilities

  • Lead all aspects of departmental recruitment: Work with hiring manager and the assigned talent acquisition business partner to open recruitments, draft requisition plans, coordinate screening, interviews, and onboarding.
  • Oversee end-to-end travel logistics: book flights and hotels, register for conferences, manage reimbursements, per diem, and submit Workday spend authorizations and expense reports.
  • Prepare and send monthly discovery statements
  • Process payments received, primarily for public records, discovery requests and related services.
  • Prepare and submit weekly deposits promptly and accurately.
  • Assist in reconciliation of daily court dockets, with internal calendaring systems.
  • Provide welcoming, professional front-desk coverage when the primary receptionists are unavailable: handle phones, greet visitors, route inquiries, and maintain office security protocols.
  • Perform other administrative and legal support duties as assigned
