About The Position

AST is searching for an Administrative Assistant who provides comprehensive administrative and operational support to the Spacecraft Engineering & Power Systems organization, enabling leadership to focus on critical engineering, development, and business objectives. This role serves as a key partner to department leadership by managing calendars, coordinating meetings and travel, supporting onboarding activities, preparing reports and presentations, maintaining departmental records, and assisting with daily operational needs. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities, handle confidential information professionally, and collaborate effectively across engineering, manufacturing, and business teams. This position plays a vital role in improving organizational efficiency and supporting the continued growth and success of the engineering organization.

Requirements

  • Associate’s degree preferred; equivalent experience considered.
  • 3+ years of administrative, office management, or coordination experience.
  • Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Ability to handle sensitive and confidential information professionally.

Responsibilities

  • Manage calendars, meetings, and scheduling.
  • Coordinate travel arrangements, lodging, and expense reporting.
  • Support onboarding activities for new employees and contractors.
  • Prepare presentations, reports, meeting agendas, and meeting minutes.
  • Track action items and follow up with team members as required.
  • Organize team events, training sessions, and customer/vendor visits.
  • Maintain electronic filing systems and departmental records.
  • Process purchase requests, invoices, and administrative paperwork.
  • Coordinate office supplies, catering, and facility-related requests.
  • Serve as a point of contact for visitors, vendors, and internal stakeholders.
  • Assist leadership team with special projects and operational initiatives.
