About The Position

The Administrative Assistant provides high-level administrative, clerical, and operational support to the Executive Team and Senior Leadership within a Federally Qualified Health Center (FQHC). This role is critical to ensuring smooth daily operations, effective communication, and organizational efficiency while supporting the mission of providing high-quality, patient-centered care to underserved communities.

Requirements

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • High school diploma or equivalent (Associate’s degree preferred)
  • Minimum 2 years of administrative or office support experience (healthcare or FQHC experience preferred)
  • Proficiency in Microsoft Office (Outlook, Word, Excel, Teams) and electronic filing systems

Responsibilities

  • Provide administrative support to Executive Leadership, including calendar management, meeting coordination, and preparation of agendas and materials
  • Maintain confidentiality and handle sensitive information in accordance with HIPAA and organizational policies
  • Coordinate logistics for leadership meetings, board meetings, trainings, and special events, travel
  • Track action items, follow-ups, and deadlines; ensure timely completion and communication
  • Provides support for incoming and out-going mail
  • Maintain organized electronic and physical filing systems
  • Support data entry, report preparation, and basic tracking for operational, HR, or compliance needs
  • Assist with preparation and organization of documents for audits, site visits, and HRSA requirements
  • Serve as a point of contact between leadership, clinic sites, and external partners
  • Answer and route phone calls, emails, and inquiries professionally and efficiently
  • Support cross-departmental collaboration and information flow
  • Other duties as assigned.
