About The Position

Are you passionate about being the backbone of a team that keeps operations running smoothly? As an Administrative Assistant for our client, you will play a pivotal role in shaping our success. The National Science Foundation's (NSF) Office of Legislative and Public Affairs (OLPA) External Affairs Branch communicates and shares information about scientific activities, programs, results, and policies of the Foundation with external audiences and stakeholders including Congress, the news media, state and local governments, other Federal agencies, and research and education communities. Successful candidates can manage calendars, correspondence, meetings, document workflows, databases, and stakeholder communications, while maintaining a high level of professionalism, discretion, and responsiveness in a fast-paced federal environment. Your support of routine operational needs will ensure OLPA staff and leadership can focus on strategic priorities while administrative functions are executed accurately and efficiently.

Requirements

  • High School
  • 3 years’ experience
  • Proficiency in Microsoft Office Suite products including Outlook, Word, Excel, and PowerPoint and basic knowledge of Microsoft Office productivity software and collaboration tools such as Microsoft Teams and SharePoint.
  • Customer service attitude and ability to present a positive and professional image to guests and visitors by consistently communicating with a high degree of professionalism, diplomacy and tact.
  • Ability to maintain confidential information.
  • Solid written and verbal communication and interpersonal skills, with attention to detail.

Nice To Haves

  • Prior Administrative Assistant experience in the federal government, particularly NSF or other science agency OLPA.
  • Experience in measuring and assessing metrics to inform strategy.

Responsibilities

  • Coordinate daily administrative tasks and oversee designated administrative operations to include calendar maintenance
  • Prepare agendas, presentation materials, meeting requests and meeting minutes, exercising basic formatting skills for a variety of reports, presentations, and spreadsheets.
  • Answer and screen incoming calls and direct calls to appropriate action officer.
  • Maintain email and distribution lists and draft email responses and general correspondence on behalf of the client demonstrating a mastery of basic grammar, spelling, and punctuation skills.
  • Accurately enter information into databases/tracking systems, compile input for and draft/organize a variety of reports, including regular metrics for social media and web traffic, maintain templates and resources for OLPA operations, and generally ensure effective document management.
  • Fully coordinate interviews, meetings, panels, etc., maintaining effective communication with the appropriate OLPA staff and with external stakeholders, assisting with processing requests for travel, training, and reimbursements when appropriate.
  • Establish and maintain effective and appropriate working relationships with OLPA contractors and staff.
