About The Position

We are seeking a detail-oriented and highly organized Administrative Assistant to support workforce program operations and performance verification activities. This role plays a critical part in ensuring accurate documentation, compliance, and successful participant outcome tracking within WIOA and employment services programs. The ideal candidate will have strong administrative skills, excellent communication abilities, and experience handling sensitive information while working in a fast-paced, deadline-driven environment.

Requirements

  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent verbal and written communication skills for working with participants, employers, and training providers
  • Ability to maintain confidentiality and comply with federal and state program regulations
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word
  • Experience working with case management systems
  • High school diploma or GED required

Nice To Haves

  • Experience with WorkSource Georgia Portal is preferred
  • Familiarity with local communities, workforce programs, and available employment resources is strongly preferred
  • Associate degree or certificate in Business, Human Resources, or a related field preferred
  • Four years of equivalent work experience in a related field may be considered in place of an associate degree

Responsibilities

  • Utilize verification sources such as The Work Number, state wage records, employer contacts, training provider records, and participant-provided documentation to confirm program outcomes
  • Review and verify employment placements, wages, credentials, transcripts, and measurable skill gains (MSG) documentation
  • Work closely with case managers and follow-up staff to resolve missing documents, discrepancies, and incorrect system entries
  • Contact training providers to obtain required supporting documentation, including credentials, transcripts, and placement confirmations
  • Support Follow-Up Specialists by completing secondary verification activities only; no initial follow-up responsibilities
  • Conduct targeted outreach to participants and employers for employment verification, wage confirmation, and credential validation
  • Return participant calls and inquiries within 48 hours
  • Collaborate with Workforce Specialists, Follow-Up Staff, and TCSG Employment Services to gather updates relevant to WIOA performance measures
  • Make referrals to employment services when additional participant support needs are identified
  • Assist with administrative duties including shredding, boxing, organizing, and maintaining files
