About The Position

This role is responsible for a variety of administrative and clerical duties to support the office and ensure smooth operations. Key functions include managing communications, maintaining records, coordinating schedules, and providing excellent customer service to patients, visitors, and staff. The position requires adherence to all hospital policies and procedures, promoting a safe and professional environment, and contributing to the overall efficiency of the department.

Requirements

  • High School Graduate
  • Typing 55+ wpm
  • Minimum of 2 years secretarial experience.

Nice To Haves

  • Prior experience in Social Work or related department preferred.

Responsibilities

  • Answer telephones, relay calls, and take messages, including retrieving and distributing voicemail messages off-hours.
  • Promote a safe, cooperative, and professional healthcare environment.
  • Adhere to all hospital policies, procedures, rules, and regulations.
  • Manage the reception of individuals to the office, advising staff of appointments, vendors, or other arrivals.
  • Obtain daily bed reservation data for all patients admitted to the hospital from residential healthcare facilities.
  • Log all patients returning to nursing homes and contact the receiving home.
  • Prioritize customer service by treating patients, visitors, and co-workers professionally, courteously, and tactfully.
  • Effectively communicate about hospital services and ensure concerns reach the appropriate personnel.
  • Provide insurance information to the Transportation clerk for patient discharge.
  • Perform filing and copying duties.
  • Provide coverage for the Transportation Coordinator in their absence.
  • Coordinate service maintenance on equipment and order office supplies.
  • Type and proofread various materials, including correspondence, memos, reports, and charts.
  • Perform other related tasks as requested by departmental administrative staff or Administration.
  • Coordinate vacation schedules and department head appointments.
  • Schedule meetings and conferences with hospital staff or other providers.
  • Enhance professional growth and development through educational programs.
