About The Position

We’re looking for a detail-oriented Administrative Assistant to support our team with day-to-day operational and clerical tasks. This role is essential in keeping our systems organized, our records accurate, and our internal processes running smoothly. If you’re highly organized, dependable, and comfortable working with data and internal systems, this could be a great fit.

Requirements

  • Previous experience as an administrative assistant or in a similar role is preferred
  • Strong communication and interpersonal skills
  • Proficiency with computer systems and software, such as Google, and email
  • Excellent organization and time management skills
  • Ability to multitask and handle a high-volume workload
  • Fluency in English is required; additional language skills are a plus

Responsibilities

  • Add and maintain accurate notes in the CRM system
  • Update and manage customer profiles to ensure current and complete information
  • Track and manage departmental timesheets
  • Coordinate and schedule interviews with candidates and hiring managers
  • Manage calendars and schedules for teams, coordinating meetings and appointments
  • Answer phone calls and respond to emails in a timely and professional manner
  • Handle incoming and outgoing mail and packages
  • Organize, file, and maintain physical and digital paperwork
  • Generate and pull reports for departmental review
  • Verify sold deals for accuracy and completeness
  • Send gift cards to clients as needed
  • Provide general administrative support as needed
