Requirements

  • A high school education plus specialized executive secretarial training or some college courses in business administration or a related field, or equivalent work experience in executive office administration, executive services, and applied secretarial skills and practices.
  • Specialized training in administrative, office services, and secretarial skills and practices.
  • A minimum of 3-5 years’ experience in an administrative support position.
  • Experience developing presentations using a variety of PC applications, including word processing, spreadsheet.
  • Bilingual fluency both verbal and written required, based on needs of the business and interaction with Korean Headquarters.
  • Develop and maintain excellent working relationships with all appropriate levels within and outside the company.
  • Demonstrated competency in both oral and written modes for internal and external personnel at all levels.

Responsibilities

  • Provide administrative and clerical support for the department.
  • Translate documents both Korean and English for the department.
  • Plan, arrange, schedule, and coordinate domestic/international travel for team members.
  • Plan, arrange, schedule, and coordinate company and community meetings, appointments, meeting materials, and facilities.
  • Prepare presentations and correspondence.
  • Handle telephone inquiries, filing, and copying.
  • Prepare and maintain division records, documents, expense reports, research materials, and files.
  • Perform general support duties, including mailings, copies, printing, coordination of schedules, office set up, maintaining office equipment, space planning, etc.
  • Assist in events planning, including scheduling, catering, set up and break down.
  • Handle shipping/mailing/packaging as needed.
  • Assist Executives with various needs.
  • Author monthly budget forecast/closing reports.
  • Assist with annual budget creation.
  • Submit/manage vendor expenses.
  • Communicate with SEA Accounting Team for system changes/continually occurring needs.
  • Communicate with vendors for renewal, invoice issues, onboarding.
  • Communicate with building management team for office repair and maintenance.
  • Order/purchase office supplies.
  • Reserve attorneys' business travels.
  • Draft approval requests for business travels for attorneys.
  • Submit all expenses in a timely manner including business travel, reception, local transportation, membership dues, conference etc.
  • General support includes various IT, mobile and device, business cards etc.
  • Report executive schedule.
  • Coordinate with the vendor regarding File wrapper requests.
  • Manage attorney schedules for significant court hearings, depositions, conferences and associated business travel.
  • Assist with invoice summaries.
