About The Position

Space Ground System Solutions (SGSS), a Parsons company, is seeking a full-time Administrative Support Assistant to work onsite at our office located in Alexandria, VA. In this role, you will take ownership of essential clerical and organizational responsibilities that keep our office running smoothly every day. We're looking for someone who can bring structure to evolving initiatives, has strong attention to detail, excellent communication skills, and have the ability to stay organized while managing competing priorities. Requirements

  • Must be a US citizen
  • High School Diploma and no less than five (5) years of office administration experience
  • Strong communication, organizational and time management skills
  • Experience with document management and creating status reports
  • Ability to be a self-starter; a team player with the ability to work independently
  • Prior experience working with Department of Defense or government contractors
  • Experience with digital document management through SharePoint, shared drives, MS Teams
  • Strong interpersonal skills and ability to work effectively with internal and external customers
  • Proficient in MS Office applications (Word, Excel, PowerPoint and Outlook)

Nice To Haves

  • Prior experience working with Joint Travel Regulations (JTR) a plus.

Responsibilities

  • Manage calendars, schedule meetings, coordinate attendees, prepare materials, and track follow‑up actions.
  • Assist with event planning, including logistics, catering, accommodations, and onsite support.
  • Schedule and monitor office maintenance, cleaning services, and general facility needs.
  • Prepare and process expense reports with timely reconciliation.
  • Monitor monthly accounts payable and process invoices and miscellaneous expenses for management approval.
  • Maintain office supply inventory, including ordering and restocking employee snacks.
  • Ensure office equipment is properly maintained, serviced, and functioning.
  • Support new hire onboarding by welcoming employees on their first day and preparing new‑hire welcome gift bags.
  • Assist with general employee engagement activities as needed.
  • Support building and office access processes, including badge creation, access updates, and alarm system coordination.
  • Provide exceptional customer service to internal staff, visitors, and external stakeholders.
  • Prepare, edit, and maintain accurate records, tracking documents, and status reports.
  • Process government‑furnished equipment (GFE), including tagging, database updates, equipment disposal, and support with annual physical inventory audit.
  • Perform other administrative tasks as needed to support the management team and overall office operations.
